Let’s face it: tracking software costs properly is still too hard for most firms.
Even if you’re using Xero Practice Manager, chances are you’re still relying on spreadsheets, manual imports, or someone’s memory to make sure charges land in the right job. And if that process breaks down, you lose visibility.
This quarter, we’ve made it easier to track software costs and job profitability.
We’ve launched Practice Connect, a smarter way to map software costs and manage client data across Rechargly. Our first integration using it connects directly to XPM, so you can push costs into open jobs automatically.
We’ve also rolled out two new quality of life improvements: one-click contact resync and CSV exports for agreements and invoices.

Practice Connect: An easier way to manage software costs in your practice
Practice Connect is a new layer inside Rechargly that links everything back to the client: your agreements, invoices, and software disbursements, with Xero Practice Manager as its first supported integration.
Here’s a quick look at how Practice Connect integrates with XPM.
When it’s turned on, you get one clean mapping system that controls how costs are allocated and tracked across the platform.
Instead of trying to remember which client owns which Xero subscription or who should be billed for a shared Dext invoice. You can now define that once and trust it to flow through.
You can also set naming rules for jobs (like “Software – FY25”), track charges before they’re billed, and get alerted if a job is closed or missing. It gives you confidence that your costs are going to the right place before anything syncs.
For many firms, this is the first time they’ve had a clear view of what each job is really costing them to deliver. And it’s often more than expected.

Practice Connect links vendor invoice line items and Rechargly customers directly to your XPM clients.
When connected, it fetches your XPM client groups and jobs, intelligently matching similar or inconsistent client names (e.g. "Company A" vs "company a"). Simply confirm these mappings once, and future software costs flow automatically into XPM into the right places. No more spreadsheet uploads you're currently doing each month
Review, sync, and control every software cost

Easily review, search, and filter all software charges from vendor invoices. Push or re-sync costs to XPM in one click, or use batch actions to send multiple at once.
Exclude specific charges with Don’t Sync, or delete and edit synced costs as needed. New statuses and filters make it simple to track what’s synced, skipped, or needs mapping.

Once you review costs, select what to track, and send them to XPM. After that, it's automatic. New costs are synced without any extra work on your part.
You’ll still have full visibility. Seeing exactly which client each invoice belongs to, which job it’s linked to, and whether it’s been tracked or is still pending.
Need to pause or exclude something? You’re in control. But for most firms, once it’s set up, the process takes care of itself.
